0UTBOUND MAIL In order for the that you separate all mail
into categories that best fit your mailing needs for maximum savings. A brief
description of each class is being provided in order to help you determine which
class to use. All postage charges will be billed back to user departments and a
monthly summary report will be provided by Mail Services at the end of each
month. - All mail to be metered
must be facing the same direction. - Flaps must be turned up,
if you wish to have the envelopes sealed. - Band all mail to be
metered and attach a card on top with your department's account
number. - Please seal all large
envelopes. - Please identify all
International Mail. - Please identify all same weight packages.
Inter-Agency Mail
State agency mail service
(Courier Mail). This service provides inexpensive overnight delivery to state
agency offices in are included with the
exception of be marked "Courier Mail".
If you would like a copy of the state offices that participate, send a request to the mailroom and one will be sent to you. Personal Mail Outgoing personal mail must
be sealed and have the proper amount of postage affixed before it is
deposited in the mail system.

Campus Mail Delivery Schedule
Inter-Department, personal
mail, and U.S. Postal Service Mail will be delivered
to and picked up from your
department's building daily. Beginning at 12:30 p.m.
Outbound mail collected
during the day will be processed for delivery to the
Post office by 3:00 p.m. If
you miss the cut off time, your mail will be sent
out the next business
day.

* Type or machine print all
address information.
* Ensure address characters
don't touch or overlap.
* Print black ink on white
background if possible.
* Maintain a uniform left
margin.
* Omit all punctuation
(except the hyphen between zip code and +4).
* Include floor, suit, and
apartment numbers whenever possible.
* Put the city, state and
zip code in that order on the last line. If there's
not enough
room, put the zip code on the bottom line.
* Make sure the place where
you want the mail delivered appears on the line
immediately
above the city, state and zip code line.
* Use standard two letter
state abbreviations.
* When using window
envelopes, make sure the complete address is always visible,
even when the
insert moves.
* Leave one or two spaces
between words and between the state abbreviation and
zip code.
MAIL CLASSIFICATION
Express Mail
An extremely reliable and
fast next day delivery service. This is the P.O. faster delivery
service, however, they dont guarantee a morning delivery. They guarantee
next business afternoon and Flat rate envelopes are available in the
mailroom. Please complete a mailing form and attach to your Express Mail
before it is picked up or delivered to the mailroom. Minimum rate for this
service is $14.40 (Next day Priority Mail This service has a two-day
delivery objective between major metropolitan areas within the minimum postage is $4.05. Flat rate envelopes are available in the mailroom and delivery confirmation can also be added with this service for a fee of .60 cents or signature confirmation for $1.90. First Class Mail Actual and personal
correspondence, bills and statements of accounts. Letters up to 1 0z. are .39
cents and the card rate is .24 cents First Class mail is closed
against postal inspection. In order to qualify for
First Class discount rates, you must have 500 or more addressed pieces. Mailings
of 500 or more pieces will be processed the next business day. Standard Mail (Formerly third class) or
bulk mail includes the following: Circulars, booklets,
catalogs keys and other printed matter. Printed letters that are being sent with
identical terms to more than one person is standard mail. Standard mail must weigh
less than 16 ounces. A minimum volume of 200 Pieces or 50 Lb. are
required for bulk mailing. The material must have been reproduced by any process other than hand
writing or typewriting. At least 72 hours advanced
notice is needed to handle large or specialized mailing of
standard mail. Manual mailing services such as hand labeling, zip code
sequencing, permit indicia stamping, sealing/tucking envelope flaps, counting
etc. are very labor intensive. Please allow seven working days for completion of these services. Library Rate Each piece of Library Rate
must show in the address or the return address the name of one of the
following: -A school, College or
University -Public Library -Museum -Non Profit Religious -Educational The following items may be
mailed between any of the above organizations. a. Books consisting wholly
of reading matter, scholarly bibliography, or reading matter
with identical blank spaces for notations and containing no
advertising. b. Bound volumes of
academic thesis in typewritten or duplicated form. c. Periodicals, whether
bound or unbound. d. Printed music, whether
bound or in sheet form. e. Sound recordings. f. 16-millimeter or
narrower width films, filmstrips, transparencies, slides, and
microfilms in final form for viewing. g. Museum materials. h. Scientific or
Mathematical kits, instruments, or other devices. i. Catalogs of books, printed music, bound theses, or periodicals. Bound Printed Matter This is fourth class matter that weighs at least 1 lb. and not more than 15 lbs. Consists of advertising, promotional, directory, editorial material or any combination of these. Must be securely bound by permanent fastenings such as staples, spiral binding, glue, stitching, etc. Consists of sheets of which 90 % are imprinted by any process other than handwriting. Does not have the nature of personal correspondence. (Typically catalogs, books and other printed matter). Each piece claimed at this rate must be marked Bound Printed Matter.
